Dock equipment pre-shipment inspection: what should the record include?

Practical selection and project-planning information. Final equipment details require project confirmation.

You want evidence before the equipment leaves the supplier. A useful record connects each check to the approved order, identifies the unit and shows what remains unresolved.
Short answer
Agree inspection criteria against the order and approved drawings before inspection takes place. Identify the equipment, checked dimensions, specified components, agreed functional checks, labels and packing. Record deviations and their closure. Photos support the record but do not replace measurements, applicable tests or site commissioning.
Define acceptance before production is complete
An inspection can only establish conformity against a defined requirement. List the drawing revision, configuration and relevant order references. Decide which items are inspected, by whom and what evidence is required. Do not assume that a general inspection photograph confirms load performance or a certification claim.
Match equipment identity to the order
Record the model or order identification and quantity. Where several units have different sizes or controls, identify each variation. A photograph of one unit should not silently stand in for every supplied configuration. Agree whether the inspection is per unit or follows an explicitly defined sampling plan.
Document dimensions and specified components
Choose measurement points that correspond to the drawing, including relevant installation interfaces. Record the specified control and component identification where applicable. Keep units and acceptance criteria visible. A result should say what was measured or checked, not simply that the product looked good.
Record functional checks and open items
Any functional checks must follow the supplying manufacturer’s procedures and the agreed inspection scope. Keep the result, equipment identity and exceptions together. Where a deviation is found, assign a corrective action and record how closure is verified before release. Factory checks do not replace site commissioning.
Connect packing records to receiving checks
Agree packing identification, loose-item lists, protection and the document package. Photographs can help the receiving team recognise packages and reported condition. Shipping dates, transport damage procedures and inspection responsibilities remain specific to the order.

Before you confirm the selection
A photograph of a working platform is not evidence of every specified performance. Keep factory inspection, conformity documentation and site commissioning as distinct records with defined responsibilities.

Can inspection photos replace a report?
No. Photos support the report, but should be linked to equipment identification, checked requirements and recorded results.
Start with the information you have.
Share your question, site photos or equipment details. Mark anything you have not yet measured — you can begin without a complete specification.

Tell me what you would like to build, replace or improve—even if you are not sure which equipment you need. A short message or a photo is a good place to start.
I can help you clarify your requirements and identify the details to check, so you can compare options with a clearer understanding. You do not need a complete drawing or specification to get in touch.
